Privacy Policy

This page is a structural draft, written against how the booking site actually works, not generic template text. It still needs a legal/compliance review, and the specific gaps marked like this one filled in, before it should be treated as final.

Who we are

Ohmm Face & Body ("Ohmm", "we", "us") is a day spa in Dean Street Arcade, Newlands, Cape Town. This policy explains what personal information we collect through this website and our booking system, why, and what rights you have over it, in line with the Protection of Personal Information Act (POPIA).

Our Information Officer

POPIA requires every organisation to register an Information Officer with the Information Regulator and publish their contact details here. Needs a real name and a direct email/phone before this page goes live — this cannot be a placeholder in the final version.

What we collect

When you book an appointment, contact us, or use Ohmm's little helper on the booking page, we collect:

  • Your name and email address
  • Your preferred appointment date and time
  • Anything you choose to write in the "anything else?" or helper text boxes — including, if you choose to share it, allergy or medical information (pregnancy, medication, recent surgery) so your therapist can treat you safely
  • Basic technical information Cloudflare's bot-protection (Turnstile) uses to confirm you're a real visitor

We do not run any marketing mailing list, newsletter signup, or analytics/advertising tracking on this site. We only use your information for the purposes below.

Health information is treated as special personal information

Medical or health-related details you share with us — whether in the "anything else?" notes field or Ohmm's little helper — are "special personal information" under POPIA. We only collect this because you've chosen to share it, only use it to treat you safely, and only pass it to the therapist actually treating you and, where relevant, the staff member confirming your booking. By submitting the booking form with this information included, you consent to our using it for this purpose.

How we use your information

  • To check real appointment availability and book, confirm or follow up on your treatment
  • To send you a booking confirmation, and to notify our staff so they can prepare for your visit
  • To let Ohmm's little helper suggest treatments and times from what you've typed — this is a suggestion only; nothing is booked until you confirm a real time
  • To contact you if a treatment you asked about isn't bookable online and needs a follow-up call

Who we share it with

We use a small number of service providers to run this booking system. None of them are permitted to use your information for their own purposes.

  • ChiDesk — the salon management system that holds the actual appointment record once a booking is confirmed.
  • NVIDIA, via the OpenCode Zen gateway — processes the text you type into Ohmm's little helper (and the appointment-time selection step) to turn it into a treatment/time suggestion. This is a transfer outside South Africa; we rely on your consent, given by using the helper, and on this being necessary to provide the feature you're using.
  • Resend — sends booking confirmation and notification emails on our behalf.
  • Cloudflare — hosts this website, our booking database, and provides Turnstile bot protection.

We do not sell your information, and we do not share it with anyone for their own marketing.

How long we keep it

Needs an actual retention decision from Ohmm — e.g. how long booking records are kept after a visit, and whether/when old enquiry or escalated (never-completed) bookings are purged. Currently nothing in the code automatically deletes booking records.

Your rights

Under POPIA, you can ask us to:

  • Tell you what personal information we hold about you
  • Correct information that's wrong or out of date
  • Delete information we no longer have a valid reason to keep
  • Stop processing your information, or object to a specific use of it

Cookies

This site does not use marketing, advertising or analytics cookies. Cloudflare Turnstile, which protects our booking and contact forms from automated abuse, may set a small technical cookie as part of confirming you're a real visitor.

We'll update this page if what we collect or how we use it changes, and update the date at the top when we do.
